InvoiceService is a standalone service that runs in the background of your web server's operating system. It is used for automatic processing of incoming invoices delivered by e-mail – it takes the invoices that suppliers send to the company mailbox over to the Extraction of invoices application, where they are further checked, approved and turned into incoming invoices.

The service processes electronic invoices in the ISDOC format as well as according to the European standard EN 16931 (UBL, CII and Factur-X or ZUGFeRD hybrid PDFs) without extraction – each one directly creates a document filled in with its data. It saves other invoices as a PDF or an image for extraction.

Thanks to the InvoiceService service, no invoice delivered by e-mail gets lost and the data from electronic invoices does not need to be retyped.

Receiving invoices

InvoiceService constantly monitors the technology mailbox to which suppliers send invoices. It saves every received e-mail including its attachments; from electronic invoices it directly creates documents for checking, and it saves other invoices for extraction. If a supplier sends an invoice as a PDF and the same invoice as an electronic invoice next to it, the service pairs them, so only one document is created. If a contract number is given in the subject or in the text of the e-mail, the service links the e-mail and the created documents to that contract.

Checking documents

The service checks every document created from an electronic invoice immediately and warns about an invoice with the same number from the same supplier or about a file that has already been processed. It writes data the application has no field for to the comment of the document, so no information from the invoice is lost.
