1. General information
1.1. Description of the control
Email is a simple e-mail client for inbox that displays incoming e-mail messages from a POP3 mail server.
- Messages are read from the mail accounts stored in the “Email” application for the login name of the logged-in user; each user therefore sees only the messages of their own accounts. If a user has several accounts, the messages of all their accounts are displayed in one view table.
- The mail server of an account is entered as the server address, optionally with the port after a colon (e.g. pop.example.com:995). Without a port, port 110 is used; with port 995 the connection to the server is encrypted.
- Messages are not downloaded to the database. A single message can be saved to an edit form using the “Save” button in the detail of the message – see the “Query” field on the “General” tab.
- Messages marked in the list can be permanently deleted from the mail server; a message opened in the detail can be deleted as well.
- Unread messages are displayed in bold. A message is marked as read by opening its detail; NET Genium keeps track of read messages for each user separately.
- The message detail offers a reply to the sender and to all recipients, forwarding the message (also as an attachment), displaying the message source and deleting the message. Replying and forwarding open the new e-mail message form.
1.2. Create a new control
A new email can be created as follows from the view page using the toolbar with controls:
- First, clicking on the view page determines the position in which the new email should be placed. This will highlight the selected position with a gray horizontal line. Then just click on the “Email” item in the toolbar of the view page, fill in the attributes of the new control in the newly opened dialog, and then save. This will insert a new email at a pre-selected location on the view page.
- If the desired position is not determined before entering a new email, the new email will be inserted at the end of the view page.
- The control is not available in NET Genium Online – the view page toolbar does not offer it.
1.3. Edit or delete a control
- For each existing control, a pencil icon appears to the left of the control page to change or delete the control's settings.
- Individual controls can be moved vertically on the view page using the Drag&Drop method. Moving consists of grabbing the control, preferably behind its name, and then dragging it to the desired location on the view page.
- Controls can be moved only with the “Drag&Drop” check box located above the toolbar with controls selected. For security reasons, this check box is cleared after each login to the application, so that a control is not moved by accident.
2. List of tabs in the control settings dialog
- General – Setting general properties
- Address book – Directory settings
- Other – Setting other properties
- Rights – Rights settings
- Administration – Setting other properties
2.1. “General” tab
2.1.1. Query
- The query determines the edit form to which a received e-mail message can be saved.
- If the query is filled in, the “Save” button is displayed in the detail of a message. It opens the edit form of the query for a new record with values prefilled from the received message into the columns specified in the fields below. The record is saved to the database only when the edit form is saved.
2.1.2. From
- Select the column into which the sender of the received e-mail message is prefilled.
2.1.3. Date
- Select the column into which the date of the received e-mail message is prefilled.
2.1.4. To
- Select the column into which the recipient of the received e-mail message is prefilled.
2.1.5. Subject
- Select the column into which the subject of the received e-mail message is prefilled.
2.1.6. Text
- Select the column into which the text of the received e-mail message is prefilled.
2.1.7. Details
- Select the column into which the source code of the received e-mail message is inserted as an attachment in the “eml” format.
- If the column is selected, the message detail offers, next to the “Save” button, also the “...” button with the “Save text only” tooltip, which pre-fills the other columns and does not insert the source code of the message into this column.
2.2. “Address book” tab
2.2.1. Type
- Default – The database table in the “Email” application will be used to store contacts. This application can be imported from the “NETGenium\Install” directory. Each user has their own contacts in it – the address book offers only the contacts stored for the login name of the user.
- Own – The own database table defined in the “Data source” field will be used for storing contacts.
- The address book is not selected according to the control the user came from, but jointly for all Email controls: the first Email control with the “Own” type and the “Name” and “Email address” fields filled in to which the user has rights is used; a control on the current view page takes precedence. Such an address book is therefore used also for controls with the “Default” type. If there is no such control, the default address book is used.
- If the instance does not have the “Email” application, the default address book offers all users with a filled-in e-mail address (except the anonymous user) – their full name and e-mail address.
- If the sender of the opened message is not in the address book, the message detail offers the “Add sender to the address book” link. If the address book is the contact table of the “Email” application, the link saves the contact directly; otherwise it opens the edit form of the address book with the name and e-mail address of the sender pre-filled.
2.2.2. Data source
- The data source defines the source database records of the directory contacts.
- Data source settings are made in the graphical designer of database queries. A detailed description of the database query designer is provided in the separate “Database Query Designer” guide.
2.2.3. Name
- Select a column that specifies the name of the contact.
2.2.4. Email address
- Select a column that specifies the contact's e-mail address.
2.2.5. Help
- Select the columns that appear in the address book pickup along with the contact's name and e-mail address.
2.3. “Other” tab
2.3.1. Options
- Show the time span toolbar
- Checking this box determines whether the controls for selecting the time period of the date the incoming e-mail message was sent should be displayed above the incoming message view table.
- When the view page is opened, the controls are set to the period from the date one month earlier to the last day of the current year, so by default only the messages from the last month are displayed. Without the controls, all messages are displayed.
- The value applies only to a user who does not have their own settings of the control saved yet. They are saved already when the view page is displayed for the first time, so a later change of this option applies only to users who have not opened the page yet; settings are not saved for the anonymous user. The user changes the display of the controls in the “Customize inbox” dialog (the “Show the time span toolbar” field), where the display of the grid is set as well.
- Show tooltip
- Checking this box determines whether the view table with incoming messages should display the details of individual records in the tooltip when the mouse hovers over individual records.
- The value applies only to a user who does not have their own settings of the control saved yet – as with the previous option, they are created already when the view page is displayed for the first time. The user changes the display of the tooltip in the “Customize inbox” dialog, which is opened by the “Customize inbox...” icon in the title of the view table.
2.4. “Rights” tab
2.4.1. Rights
- Rights define a list of user groups and users who have permission to display the control on the view page.
- For a new control, the rights are prefilled from the control at the position selected before inserting it; if no position is selected, from the rights of the view page.
2.4.2. Replace rights to other controls
- The “Replace rights to other controls” feature is used to unify rights across the entire view page for controls that are related in terms of rights.
- Thanks to the “Show...” link, it is possible to display a list of all controls on the view page, including the settings of the rights of these controls. A check box is displayed for each control to select it. When the control is saved, the same rights are then set for the selected controls.
- An alternative for unifying rights within the entire view page is the overview of the rights settings of all controls, displayed by the “Show summary...” link on the “Rights” tab in the view page settings.
2.5. “Administration” tab
- The “Administration” tab is only displayed for existing controls.
2.5.1. Location
- Select the view page on which the control is located.
- The drop-down list contains the view pages located in the same application and in the same category as the view page on which the control stands. For a view page without a category, it offers only view pages without a category. For a new control, it contains only the current view page.
2.6. “Save”, “Delete”, and “Close” buttons
- “Save” button – Saves changes to the control settings.
- “Delete” button – Permanently deletes the control.
- “Close” button – Closes the control settings dialog without saving changes.
