CRMService is a standalone service that runs in the background of your web server's operating system. It is used for automatic storage of incoming and outgoing e-mail communication with customers to Activities application in the form of e-mail activities, and for automatic two-way calendar synchronization with MS Outlook.

CRMService stores in NET Genium only those e-mail messages that relate to customers stored in the address book. It also motivates information system users to honestly enter new business relationships or contacts, thus keeping the company directory up to date.

Thanks to the CRMService service, you will have a complete history of e-mail communication with the given customer available to all employees.

Incoming communication

CRMService constantly monitors your corporate e-mail box. As soon as a new e-mail arrives in the mailbox, it tries to find the sender's address in the address book and at the same time the recipient's address in the list of information system users. If it evaluates the incoming message as relevant for registration in the Activities application, an additional analysis is performed to match the message with the existing order. This is based on entering the order number in the subject of the message or directly in the content of the message on a separate line. The order number must always be given in the format “Order:number” (without quotation marks, where the number represents the order number, eg “Order:4”).

Outgoing communication

When sending an e-mail message to a customer, it is necessary to send a blind copy to the special e-mail address of the CRMService service. This address is specific to each owner of the NET Genium information system, eg crm@netgenium.com. Furthermore, the analysis of the e-mail message is performed in the same way as for incoming communication.

Calendar

CRMService mutually synchronizes the activities of all users who match the e-mail address entered in the user table with the e-mail address on the Microsoft portal.
