  • Example of creating and editing an activity record

Creating and editing a new activity

In the upper gray bar, click on the CRM module. Now click on Activities in the left navigation bar, and then click on the New activity button on the page. We fill in the Subject in the form and specify the Activity type. The deadline for the activity is not required, so in this case we will not fill it in and click on the Save button. We now see the activity we created in the All activities table. After clicking on the Home page, we see that our activity has been displayed in the Upcoming activities table.

We will now show you how to create a new activity record with a deadline. On the main page, click on the New record icon in the Upcoming activities table, and fill in the Subject and the Activity type in the open form. Next, fill in the Deadline and click on the Save button. In the Upcoming activities table, we now see both activity records we created. We also see that the first activity record without a deadline is displayed in the table before the activity record with the completed deadline. The activity with the completed deadline will start to be displayed on the home page 7 days before the deadline for the activity. We will now open the activity record without a deadline. By filling in the Completed, the activity is marked as completed. There are two ways we can fill in the completed date. We can either set the fulfillment using the Completed + Save button or we can fill in the fulfillment date manually. In this case, press the Completed + Save button to set the activity as completed. We now see that the activity has stopped appearing in the Upcoming activities table. This activity can be found in the CRM module, in the Activities application, on the All activities page. We will now open the activity record with the deadline to show the manual completion date and other details. We will fill in the completion date manually in the form. An activity is also usually assigned to a contract, business account, contact, or task, and by checking the Links box, the activity can also be assigned to a milestone order, document, campaign, rfq or order, complaint, or employee. In our case, we assign our activity to an existing contract using a picker. Now click on the Read Rights tab. If Selected remains empty, this activity will only be displayed to the person in charge of this activity. In this case, we will select the Employee group and this activity will therefore be available to all employees of our company. By selecting user groups, we prevent members of other groups from viewing this activity. If we also select the Plan also for field, this activity will be displayed to the selected users on the home page in the list of unfulfilled activities. We will now return to the General tab and enter a description. Activities contain a description that allows you to enter formatted text analogously, such as when creating a document in Microsoft Word. For activities of type E-mail the description defines the body of the e-mail message, for other types of activities it serves as a note, for example. If we want, we can attach an attachment by pressing the Browse button. When we are done, click on the Save button. On the All Activities page, we now see the two activity records we created that are currently set as completed, and therefore no longer appear on the main page in the Upcoming activities table.
